Use the ChangeGPS workpapers in conjunction with Xero WP

Integrating ChangeGPS Workpapers with Xero Workpapers Workflow

Updated over 8 months ago

Step 1: Save Client Workpapers to Cloud Storage

  1. Download the Latest Version: Obtain the latest version of the ChangeGPS ITR or Business Group Workpapers.

  2. Create Copies: Create a copy for each of your clients.

  3. Upload to Cloud Storage: Upload these documents to your preferred cloud storage location (e.g., Box, Dropbox, Google Docs).

  4. Create Share Links: Generate and copy the file share link for each specific document.

Step 2: Navigate to Xero Workpapers

Xero Workpapers integrates with Xero to streamline the creation and audit of workpapers. Users can store supporting documents, notes, and verification calculations with each workpaper.

  • Attach Documents: Attach documents to individual lines in a workpaper using a file chooser, drag-and-drop, or external hyperlink.

  • File Uploads: Upload up to 10 files at once, each less than 20MB, in formats such as PDF, DOC, DOCX, XLS, XLSX, JPG, PNG, GIF, TIF, CSV, TXT, QIF, or OFX.

  • Documentation Icon: When documents are attached, the documentation icon changes to blue on both the line in the workpaper and in the workpaper list.

  • Supporting Documents: All attached documents are listed under Supporting Documents, where you can preview, download, or delete them.

Step 3: Add hyperlinks to Xero Workpaper lines

If using cloud storage for ChangeGPS workpapers, add the copied link to a workpaper line:

  1. Open Workpaper: Find the line you want to add an external link to.

  2. Click Documentation Icon:

  3. Enter Hyperlink: Paste the copied link into the External link field.

  4. Title the Document: Enter a title for the linked document.

  5. Save Link: Click Add link to save it to the workpaper line.

Note: Linked documents are stored outside of Xero, so their content can change or the link may break. To permanently save a document in its current state, upload the document instead of adding a link.

Alternative method: Attach documents directly

If not using cloud storage, attach documents directly to a workpaper line:

  1. Open Workpaper: Click on the line you want to attach documents to.

  2. Click Documentation Icon:

  3. Add Files: Drag and drop files or click Add files to select them manually.

  4. Select Documents: Find and select your documents, then click Open.

  5. Save Changes: Click Save to save your changes and close the window.
