Run a completion report in Learning

How to use Quick Reports in the Learning LMS admin view to generate and export activity completion reports for your team.

The Learning LMS (Learning Management System) includes a built-in reporting tool that lets administrators track course and activity completion across their organisation. This article explains how to access Quick Reports, run the Activity Completion Status report, and export the results.

Before you begin

To run completion reports in Learning, you need the following:

  • A Learning role of Administrator. Users with a User-level Learning role will not see the Reporting menu.

  • Access to the Learning module in ChangeGPS Evo. If you are unsure of your role, contact your firm's admin or reach out to our support team.

Switch to admin view

Quick Reports are only available in admin view. To switch from the standard learner view to admin view:

  1. Open the Learning module from the ChangeGPS Evo navigation bar.

  2. Select your profile menu (the circle containing your initials) in the top-right corner of the Learning home page.

  3. Select Switch to Admin from the dropdown menu.

The Learning admin interface will load, displaying the left-side navigation menu with sections including Home, Workforce, Content, Engagement, Reporting, Tools, and Settings.

Access Quick Reports

There are two ways to access reports from the Learning admin home page.

Option 1: Via the Reporting menu

  1. In the left-side navigation menu, select Reporting.

  2. Select Quick Reports from the submenu that appears.

Option 2: Via Daily Essentials

The Daily Essentials panel on the right side of the admin home page includes a shortcut to reporting. Select Run a completion report to go directly to Quick Reports.

The Reports page displays all available report templates. You can filter the list by category using the left-hand panel, which includes categories such as Assessments, Charts, CPD, Organisation, Pathways, and Training Activity.

Run the Activity Completion Status report

The Activity Completion Status report provides a graphical overview of activity completion status across your organisation. Use the Group By filter to refine how results are grouped.

To run the report:

  1. On the Reports page, locate and select Activity Completion Status from the report list.

  2. The report opens displaying a Filters panel. Complete the filters as required:

    • Activity Name — Optional. Enter a specific activity name to narrow results to a single course or task.

    • Activity Status — Defaults to Active. Change this if you need to report on inactive activities.

    • Organisation Unit — Defaults to All. Select a specific unit to filter results to a team or department.

    • Assigned From — Defaults to 1 year ago with Use relative dates ticked. Adjust the date range to match your reporting period.

    • Due Before — Optional. Set a due date to filter activities with deadlines before a specified date.

    • Group By — Defaults to Organisation Unit Level 1. Use this to control how results are grouped in the report output.

  3. Select Run Report to generate the report.

Read the report output

The Activity Completion Status report output displays the following information for each member:

  • Organisation Unit Level 1 and Organisation Unit Level 2 — The organisational structure the member belongs to.

  • Organisation Name — The name of the organisation or team.

  • Full Name — The member's full name, displayed as a link to their learner profile.

  • Line Manager Full Name — The name of the member's line manager.

  • Activity Name and Completion Status — Each activity assigned to the member, with its current completion status (for example, Incomplete or Complete).

The inline preview displays the first 1,000 records. Use the pagination controls to move between pages.

Export the report

To download the full report data, use the Export function. Reports can export up to 250,000 records.

To export:

  1. Select the Export dropdown button above the report results.

  2. Choose either CSV or XLSX (Microsoft Excel) as the file format.

  3. The file will download to your device.

Email or save the report

In addition to exporting, you can send or save the report using the options at the top of the report page:

  • Email Report — Sends the report to a nominated email address.

  • Save As — Saves the report with your current filter settings so you can run it again without reconfiguring the filters.
