Customise your firm branding and letter settings

Learn how to upload your firm's branding and fine-tune letter settings in Company Settings so your logo, letterhead, colours and signature details apply automatically to your letters and reports.

You can customise your firm's branding and letter formatting in Company Settings so your logo, letterhead, brand colour and signature details are applied automatically to the letters and reports you generate across your ChangeGPS apps. This article walks you through uploading your branding assets, fine-tuning your letter settings and adding your own signature details so your documents look consistent and professional.

Before you begin

Before you customise your branding and letter settings, make sure you have the following:

  • The CGPS v2 Administrator role in Evo Organisation Settings. For more information, see Evo activation and setup.

  • Your firm's logo, letterhead design and follower/footer image, saved as PNG or JPEG files (max 4MB each).

  • Access to a free image editing tool such as Canva, in case any of your assets need resizing.

Step-by-step guide

Upload your branding assets

To apply your firm's branding to your letters and reports, start by uploading your logo, letterhead and follower image in Company Settings.

  1. Go to Access menu > Apps > Company Settings > Branding.

  2. Under Primary Color, set your Primary Brand Color and select Save Changes.

  3. Under Company Logo, select Upload Logo to add your firm's logo (PNG, max 4MB), then select Save Changes.

  4. Under Letterhead, select Upload Letterhead to add your letterhead image (PNG or JPEG, max 4MB), then select Save Changes.

  5. Under Follower Image, select Upload Follower Image to add your footer or watermark image (PNG or JPEG, max 4MB), then select Save Changes.

Use the following recommended dimensions when preparing your branding assets:

  • Letterhead and Follower Image — A4, 793 × 1119 px. See this ready-made template you can use for both.

  • Logo — 120 × 50 px. This size is recommended so your logo displays correctly in EngageAML. See this ready-made template.

If your current logo, letterhead or follower image isn't in these dimensions, you can resize it for free using a tool such as Canva. Open the template provided, remove the placeholder image, and replace it with your firm's own branding and assets.

Once you've uploaded your branding assets, we recommend testing your letter settings by generating a document from one of your apps, such as EngageAML, to check how your branding appears.

Fine-tune your letter settings

After your branding assets are uploaded, you can fine-tune how they appear on your letters and reports using letter settings in Company Settings.

  1. Go to Access menu > Apps > Company Settings > App Settings.

  2. Select Open Letter Settings.

  3. Under Firm Settings, set your Main Firm Contact (the designated contact used for firm contact merge fields), your Opening Statement and your Firm Tagline.

  4. Under Signature Image Settings, set the Max Width and Max Height to control how your signature image is scaled in letters. This is set on a scale of 1–10, where 1–10 corresponds to 25–325px.

  5. Under Font Settings, set your Header Font, Header Font Size, Body Font and Body Font Size.

  6. Under Margin Settings, adjust the Letterhead Top Margin, Letterhead Bottom Margin, Follower Top Margin, Follower Bottom Margin and Salutation Margin to fine-tune spacing around your letterhead and follower image and to control page breaks.

  7. Under Layout Settings, select the Letterhead Style that matches your letterhead design (Header/Footer (Standard), Right Aligned, Left Aligned or Narrow Margins), and choose whether to Include page numbers on follower pages.

  8. Under Closing & Signature, set your Closing Statement and your Signature Text Template using the available merge tags, such as {{sign_name}}, {{sign_qualifications}} and {{sign_role}}.

  9. Select Save Letter Settings.

Merge tags shown in pink in the Closing & Signature section must be filled in by the user generating the document. Merge tags shown in blue are auto-populated when the document is generated.

Add your signature and profile details

Each user's own name, position, qualifications and signature image come from their individual ChangeGPS User Profile, and are used together with your Letter Settings to populate the signature block on letters and reports. Each user in your firm should complete their own profile.

  1. Go to Access > Apps > ChangeGPS User Profile.

  2. Check your Evo Profile Information — your First Name, Last Name and Email.

  3. Under ChangeGPS Profile, enter your Company Position, select your Position Type, and enter your Personal Qualifications (for example, CPA, CA or ACCA).

  4. Under Address Information, enter your Street Address, City, State and Postcode.

  5. Under Signature, upload your signature image (PNG or JPEG, max 500KB). The recommended size is 200 × 100 px. See this ready-made template.

  6. Select Save Changes.

Tips and best practices

  • Match your Letterhead Style to your actual letterhead design so your logo or return address doesn't overlap with the body text of your letters.

  • Use the provided Canva templates to quickly resize your branding assets and signature to the recommended dimensions rather than designing from scratch.

  • Ask everyone in your firm to complete their own ChangeGPS User Profile so their name, position, qualifications and signature appear correctly on the letters and reports they generate.

  • Generate a test letter or report after each change to your letter settings so you can check the layout before sending documents to clients.

Common issues

If your letter text is overlapping your letterhead, you can fix this by increasing the Letterhead Top Margin and Follower Top Margin in the Margin Settings section of Letter Settings, so there's more space before the body content starts on each page.

If your signature image looks too large or too small on your letters, you can adjust its size using the Max Width and Max Height fields in Signature Image Settings, where each step on the 1–10 scale corresponds to 25–325px.

If your name, position or qualifications aren't appearing correctly in your signature block, check that your ChangeGPS User Profile is complete and that you've selected Save Changes.
