Client Import Manager overview

Overview of Client Import Manager, including integrations, client data sync, and core features in ChangeGPS.

The Client Import Manager (CIM) is the ChangeGPS integration hub that connects your practice management system to the rest of the ChangeGPS platform. Once connected, CIM imports your client data from Xero Practice Manager (XPM) or ADE (Access Data Exchange) into ChangeGPS and keeps it in sync. All other ChangeGPS apps — Tax Plan, Division 7A, Letters Merge, Action Meeting, and more — use CIM as their source of client information, allowing you to search for and import client details without re-entering data you already hold.

What Client Import Manager does

  • CIM connects to your existing practice management system (XPM or ADE) and imports your client database into ChangeGPS, normalising client names, entity types, ABN/ACN, addresses, relationships, and contacts into a consistent format.

  • Once connected, CIM synchronises changes automatically in the background — when client data is updated in your practice management system, those changes flow through to ChangeGPS without manual intervention.

  • CIM provides a unified client search that all other ChangeGPS apps use. When you start a new Tax Plan, Division 7A analysis, or Letter, you search CIM for the client and import their details with a single click — no duplicate data entry.

  • For practices using Xero for invoicing or FuseSign for digital signing, CIM also manages those integration connections.


Who should use Client Import Manager

CIM is set up and managed by a ChangeGPS Administrator (typically the practice principal or IT manager). Once configured, all practice staff benefit from the client search functionality across every ChangeGPS app.

If you are an accountant using ChangeGPS day-to-day, you do not need to manage CIM directly — you simply use the Import from CIM option whenever you start a new analysis, letter, or meeting in any ChangeGPS app.

Key features

  • Automatic background sync — Client data is synchronised in the background using scheduled jobs. When a client is updated in your practice management system, ChangeGPS picks up the change automatically.

  • Deduplication — CIM identifies duplicate client records across the import and merges them according to configurable deduplication rules, keeping the ChangeGPS client database clean.

  • Data normalisation — Client data from different practice management systems is converted into a consistent ChangeGPS schema, ensuring all apps receive data in the same format regardless of the source system.

  • Multi-tenancy — Client data is completely isolated between organisations. Your client data is only accessible to users within your ChangeGPS account.

  • Audit logging — All import operations, mapping changes, and deduplication decisions are logged for compliance and troubleshooting purposes.

  • Bulk operations — Administrators can perform bulk imports and bulk updates across all client records.


How Client Import Manager fits into ChangeGPS

CIM is the data backbone for the entire ChangeGPS platform. Every app that involves a client — Tax Plan, Division 7A, CGT, FBT, Section 100A, PFP, Dividend Statement, Action Meeting, Letters Merge — uses CIM as its client source. When you select Import from CIM in any of these apps, you are searching the CIM client database.


Getting started

  1. Navigate to Admin Settings → Integrations in ChangeGPS.

  2. Select your practice management system (XPM or ADE) and follow the OAuth connection flow.

  3. Once connected, the initial import runs automatically. Client data is available in all ChangeGPS apps within minutes.

  4. Monitor the sync status in Admin Settings → Integrations to confirm the connection is healthy.
