Overview of ChangeGPS setup, including seat allocation, company configuration, and user profile setup

ChangeGPS Seat Allocation

The Seat Management app allows you to view all ChangeGPS apps and their current seat allocation. Before your team can use a ChangeGPS app, seats need to be allocated using the instructions below.

For a user to appear in the Seat Management app, they must have:
- Been invited as an Evo member
- Accepted their Evo invite
- Been assigned a ChangeGPS v2 User or Admin role

  1. Click the Access drop-down and select Apps.

  2. Use the search bar to locate and select the Seat Management app.

3. Once the app loads, click on a listed product to manage the seat allocation.

4. Use the Unassigned, Assigned, and History tabs to review seat usage.

5. Assign seats to members by selecting users from the Unassigned list.

6. Review assigned members and allocation history to confirm seats have been applied correctly.


How to Access ChangeGPS Apps
Users can now navigate to their ChangeGPS apps.

  1. Select the Access drop-down arrow in the top left corner of the screen.

  2. Click Apps from the menu.

  3. Click on an icon to launch the selected app.

The apps displayed in the above image may differ depending on your organisation's subscription.


ChangeGPS Company Setup
Now that seats are allocated, it's time to configure your company settings.

  1. Click the Access drop-down and select Apps.

  2. Use the search bar to search for Company Settings.

  3. Select ChangeGPS Company Settings from the results.


Company Information
1. Fill in the relevant details for your business.

2. Click Save Changes when done.


App (Application) Settings
1. Work through each of the settings below, completing the sections that are relevant to your subscription.

Global Settings

Global Settings allow you to configure your letter settings, which are applicable to all subscribers. These settings ensure consistency across all engagement letters generated for your clients.

Engage Settings

Engage Settings are only applicable if your subscription includes Actions & Meetings. These settings help you customise how you interact with clients through these features.

States and Professional Body

In this section, you can choose the state or states where your firm provides services. Additionally, you can specify your professional body and indicate whether you operate as a sole practitioner.

Fees & Payments

Fees & Payments settings allow you to input your hourly rates and invoice preferences. These configurations ensure accurate and efficient billing for your services.

Cloud Computing

Cloud Computing settings let you specify the cloud providers your firm uses. These providers will be included in your engagement letters to ensure transparency with your clients.

Outsourcing

Outsourcing settings allow you to list the outsourcing providers included in your engagement letters. This ensures that clients are aware of any third-party involvement in service delivery.

Service Items

Service Items Settings enable you to add all the services your firm offers along with their associated fees.

Actions/Meetings Settings

Actions/Meetings Settings allow you to edit your meeting templates. These settings are only applicable if your subscription includes Actions & Meetings.

Service Plan Settings

Service Plan Settings let you decide whether to include Wealth Services in your Service Plan reports. This feature is only applicable if your subscription includes Service Plan.

Business Structure Advice Settings

Business Structure Advice Settings allow you to choose the payment methods you accept for the Structure app. This feature is only applicable if your subscription includes Structure.


Branding

Add your practice branding to personalise your ChangeGPS experience. Scroll through the customisation options below.

  • Primary Colour (Brand)

Add your Primary Colour (brand).

  1. Click the drop-down to the right of RGB to choose by HSL or Hex Code instead.


  • Company Logo

  1. Upload your Company Logo (PNG files only).


  • Company Letterhead

  1. Upload your A4 Company Letterhead (PNG or JPEG files only).

  2. If you find that letter content is generating over your letterhead, you can make adjustments in: App Settings → Global Settings → Open Letter Settings.


  • Follower Image

  1. Upload your Follower Image if applicable (PNG or JPEG files only).


Integrations
Connect your practice management system to import client data. From here, you can also connect to additional services for enhanced functionality, like electronic signing.


ChangeGPS User Setup
With the company configured, each user can now set up their individual ChangeGPS profile.

  1. Click the Access drop-down and select Apps.

  2. Use the search bar to search for ChangeGPS User.

  3. Select ChangeGPS User Profile from the results.

4. Use the Evo Profile Information and ChangeGPS Profile sections to edit or add information like your position, position type, personal qualifications, and office address, and upload your signature.

5. Click Save Changes.
