Seat Management is a ChangeGPS app that enables practice administrators to control which staff members have access to each ChangeGPS app. Your practice subscription includes a set number of seats per product — Seat Management lets you see how many seats you have, who they are assigned to, and add or remove users as your team changes.
Seat Management is available in Australia.
What Seat Management does
Seat Management shows all ChangeGPS products in your subscription as cards, each displaying the number of seats used versus the total available.
The app lists the users currently assigned to each product and allows administrators to assign new users or remove access from existing users.
Seat Management shows unassigned team members — users in your ChangeGPS account who have not yet been allocated a seat for a particular product — making it easy to identify who needs to be provisioned.
A licence history log records all seat assignment and removal actions for audit purposes.
Who should use Seat Management
Seat Management is restricted to Administrators. Standard practice staff cannot access it. It is typically used when:
Onboarding a new team member who needs access to ChangeGPS apps
Offboarding a staff member who is leaving the practice
Upgrading the subscription to add more seats
Auditing who has access to which apps
Key features
Product seat cards — One card per licensed product, showing total seats, seats in use, and available seats with a visual progress bar.
Unallocated seat alert — A warning is shown when any product has purchased seats that have not yet been assigned to users.
Assigned members grid — A table showing all users currently assigned to a selected product, with name, email, and assignment date. Multi-select with checkboxes for bulk actions.
Unassigned members grid — Users in the ChangeGPS account who do not yet have a seat for the selected product.
Bulk assign/unassign — Select multiple users and assign or remove seats in a single action.
Licence history — A full history of seat changes for audit purposes.
How Seat Management fits into ChangeGPS
Seat Management controls access to all other ChangeGPS apps. A user who is not assigned a seat for a app (for example, Tax Plan) will not be able to access that app even if they have a ChangeGPS login. Keep seat assignments up to date to ensure all staff have access to the apps they need.
Getting started
Navigate to Seat Management from the ChangeGPS dashboard (Administrator access required).
Review the product cards to see current seat usage across all licensed apps.
Select a product card to see the assigned and unassigned members for that app.
Assign or remove seats as needed.
